How to use this template

    Enter each employee's annual vacation entitlement plus any approved carryover from last year.

    Add each approved vacation to the booking log with start and end dates and the day count.

    Subtract booked days from the entitlement so the remaining balance is always current.

Frequently asked questions

How is the remaining vacation balance calculated?

Add the annual entitlement to any carried-over days, then subtract booked and taken days. Only approved bookings should reduce the balance — pending requests stay out until a manager signs off.

How much vacation should carry over?

That depends on your policy and local law. Many companies cap carryover at five days or one to two weeks to encourage people to actually rest. Record the carried amount in the dedicated column so it is auditable.

How do I prevent everyone booking the same week off?

Use the booking log and a shared team calendar to see overlap before approving. Set a maximum number of people off at once per team, and confirm cover is arranged for any extended absence.
