How to use this template

    Build the loop from the interview plan

    Take the stages and competencies agreed with the hiring manager, and give each session one interviewer and one focus area so nothing is assessed twice or missed.

    Fill the tracker in the candidate's time zone first

    Offer times in the candidate's local time, then convert for interviewers. Record the time zone on every row.

    Send the itinerary and prep brief

    Candidate itinerary at least 2 business days before; interviewer prep brief 24 hours before, with the resume and scorecard link.

    Track scorecards before the debrief

    Scorecards are due within 24 hours. Hold the debrief only when every interviewer has submitted.

Frequently asked questions

What should an interview schedule include?

For each session: the candidate, role and requisition, stage, date, start and end time with time zone, interviewer, the competency or focus area they own, format (phone, video, in person), room or link, and when the scorecard is due. Add a status column so the coordinator can see what's confirmed, and keep breaks visible in the loop.

How long should an onsite interview loop be?

Most final loops run 2.5 to 5 hours with 3 to 5 interviewers. Keep virtual loops under 5 hours in one day, put at least 10 minutes between sessions, and add a 30-minute lunch break to anything over 4 hours. If you need more time, split the loop across two days rather than running one long session.

How do you schedule interviews across time zones?

Offer times in the candidate's local time zone first, then convert for interviewers. Write the time zone next to every time in every message and calendar invite. For a candidate in Pacific Time and a panel in Eastern Time, a 9:00 am PT start is 12:00 pm ET. Watch the weeks when US and UK clocks change on different dates.

How soon should interviewers submit feedback?

Within 24 hours of the session, and before talking to other interviewers about the candidate. Independent scorecards reduce the chance that the first or loudest opinion shapes everyone else's. Hold the debrief only once every scorecard is in, ideally within 2 business days of the final interview.

What should an interview confirmation email to a candidate say?

Give the date, each session's time with time zone, each interviewer's name and title, the video link or address, any tools they need, and how to prepare. Include a line inviting them to request an accommodation without explaining why, a contact for last-minute problems, and the date they'll hear back.

How is an interview schedule different from an interview scorecard?

The schedule is logistics: who interviews the candidate, when, where and on what topic. The scorecard is the evaluation each interviewer fills in afterwards, with ratings against defined competencies. A structured interview guide holds the actual questions. Most hiring teams use all three together.
