Job posting vs job description: the job description is the internal record of the role (duties, reporting line, grade, physical requirements). The job posting is the external ad built from it: shorter, written to the candidate, and legally required in many states to carry the pay range and benefits. Keep both, and make sure the posting never promises duties or pay the description does not support.
Posting fields
- Job title— the title people search for, e.g. "Payroll Specialist", not "Payroll Ninja"; add level if it matters ("Senior")
- Requisition ID— e.g. REQ-2026-114; used in the posting URL and structured data identifier
- Location and work arrangement— city and state, plus on-site / hybrid (days in office) / remote with the states you can hire in
- Employment type and schedule— full-time, part-time, temporary; exempt or non-exempt; shift hours if fixed
Sample posting 1: salaried hybrid role
Payroll Specialist Cedarline Logistics • Denver, CO (hybrid: Tuesday-Thursday in office) • Full-time, non-exempt • REQ-2026-114 Pay: $62,000-$74,000 per year, plus overtime at 1.5x for hours over 40 in a workweek. New hires typically start between $62,000 and $68,000 depending on multi-state payroll experience. Benefits: medical, dental and vision (company pays 85% of employee premiums), 401(k) with a 4% match, 15 days of PTO plus 9 paid holidays, 48 hours of paid sick leave, and 12 weeks of paid parental leave. Sample posting 2: hourly shift role

Occasional Saturday overtime in November and December, posted two weeks in advance. Benefits: medical, dental and vision from day 31, 401(k) with a 4% match, 10 days of PTO in your first year, paid sick leave, and free safety footwear up to $150 a year. The internal job description is the source of truth for duties and requirements. The posting is the shorter, external version written for candidates.

Enter a good-faith pay range and a benefits summary for every posting, even if the role sits in a state without a pay transparency law. Remote roles can be filled from covered states.

What is the difference between a job posting and a job description?

Keep both, and make sure the posting never promises pay or duties the description doesn't support.
Which states require salary ranges in job postings?
As of September 2026, California, Colorado, Washington, New York, Illinois, Minnesota, Vermont, Massachusetts, Maryland, New Jersey, Hawaii and the District of Columbia require pay ranges in postings, plus New York City and some other cities. Employer size thresholds range from any size (Colorado, Maryland, DC) to 50+ employees (Hawaii). Several also require a benefits description. Check each agency page before posting.
Do I have to include the pay range for a remote job?
Usually yes. California applies its rule if the role may be filled in California, including remotely, and New York and Illinois cover roles performed at least partly in the state. If a remote role is open to candidates in covered states, include a good-faith range and benefits summary. Many employers now include a range on every posting to avoid tracking state by state.
What should an EEO statement in a job posting say?
At minimum, state that the company is an equal opportunity employer. A fuller version lists the protected characteristics: race, color, religion, sex (including pregnancy, sexual orientation and gender identity), national origin, age, disability, genetic information and veteran status. Add an accommodation contact so applicants with disabilities know how to request changes to the application or interview process.
Can a job posting say "recent graduates" or "digital native"?
Avoid both. The EEOC says an ad seeking "recent college graduates" may discourage applicants over 40 and may violate the Age Discrimination in Employment Act. "Digital native" implies an age group too. Describe the actual requirement instead, such as "entry-level, 0-2 years of experience welcome" or "comfortable learning new software such as Workday".
What fields does Google for Jobs require?
Google's JobPosting structured data requires title, description, datePosted, hiringOrganization and jobLocation (or applicantLocationRequirements for fully remote roles). Recommended fields include baseSalary, employmentType, validThrough, identifier, jobLocationType and directApply. Remove expired jobs by setting validThrough in the past, returning a 404 or 410, or deleting the markup.
