How to use this template

    Start with the compliance matrix

    List the training each role must complete, how often, and the regulation or policy that requires it. That tells you what the log has to prove.

    Log every session the day it happens

    Record the course, date, hours, trainer and method, and file the sign-in sheet or completion certificate. Records rebuilt later rarely survive an inspection.

  3. 3

    Calculate the next due date

    Add the refresher interval to the completion date and sort by due date each month. Flag anything due within 60 days.

    Verify competence where the rule requires it

    Some standards require an evaluation, not just attendance (for example forklift operator evaluations). Record who evaluated and the result.

    Keep records for the required period

    Retain training records for at least the period set by the relevant standard, and longer if they may be needed to defend a claim.

Frequently asked questions

What should a training log include?

For each session: the employee's name and ID, course title, date, hours, trainer or provider, delivery method, assessment result or certificate number, expiry or next due date, and who verified completion. For group sessions, keep a sign-in sheet with signatures and the course outline.

How long should training records be kept?

At least as long as the relevant regulation requires, for example three years for OSHA bloodborne pathogens training and two years for California harassment training. Many employers keep training records for the length of employment plus several years because they are used as evidence in claims.

How often is forklift training required?

OSHA requires initial training and an evaluation before an employee operates a forklift, and a performance evaluation at least every three years. Refresher training is also required after an accident or near miss, unsafe operation, a poor evaluation, or a change in truck type or workplace conditions.

Which states require harassment prevention training?

California (employers with 5+ employees, every two years), New York (all employers, annually), Illinois (all employers, annually), Connecticut (employers with 3+ employees), Delaware and Maine, among others. Some cities, such as New York City and Chicago, add their own rules. Check the current requirements for each work location.

How do you track training in Excel?

Keep one row per employee per course with the completion date and interval in months, then calculate next due with =EDATE(completion_date, interval_months) and days remaining with =next_due - TODAY(). Use conditional formatting to highlight rows due within 60 days and sort by next due date.
