How to use this template

    Agree the audience and send time

    Pick who reads it (manager, leadership, a project sponsor) and a fixed send time, for example Friday by 2 p.m. covering Monday to Friday.

    Write the summary last

    Fill in metrics, progress and risks first, then write the three-line summary. A reader who stops after the summary should know the one thing that needs their attention.

    Use RAG status honestly

    Apply the definitions in the template. Amber early is useful; a surprise red is not.

    Ask for decisions explicitly

    List any decision you need, who needs to make it and by when. This is the section leaders act on.

    Keep the same format every week

    Readers scan faster when the layout never changes. Carry open risks forward until they are closed.

Frequently asked questions

What should a weekly report include?

A three-line summary, overall status, the key metrics against target, progress on each project (done this week, next week, due date), risks and issues with owners, and any decisions you need with a deadline. Keep it to one page so readers finish it.

How do you write a weekly status report quickly?

Use the same template every week and update it from your task list or project tool on Friday morning. Fill in metrics and projects first, then write the summary. Most people get it under 20 minutes once the format is fixed.

What is RAG status in a report?

Red, amber, green. Green means on track with no help needed; amber means at risk but the team has a recovery plan; red means a date, budget or scope commitment will be missed without a decision or help from outside the team. Define them in writing so everyone uses them the same way.

What is the difference between a daily and a weekly report?

A daily report records what one person or shift did, what is carrying over and any blockers, and is mainly for handovers and close supervision. A weekly report rolls up progress, metrics and risks for a team or project and asks leaders for decisions.

Who should receive a weekly status report?

Your manager and anyone who needs to act on it: project sponsors, leaders whose decisions you need, and peer teams with dependencies. Keep the distribution list short. People who only need the headline can get the summary lines in a chat channel.
