This template is for telling other people about a new hire: the team, the company, clients, or your network. The email to the new hire themselves (start time, parking, first-day agenda) is a separate document; use the first-day welcome email template for that.

Details to collect from the new hire

Preferred name and pronunciation— e.g. "Siobhan (shi-VAWN)"
Pronouns (optional)— only publish if they choose to share
Job title and team— from the offer letter; confirm the title they want used externally
Manager and onboarding buddy— who people should loop in on introductions

Message to the new hire before you announce

Subject: Quick one before we introduce you Hi [Preferred name], We'd like to introduce you to the [Team] team on [date] and to the rest of [Company] in our [weekly update / all-hands] on [date]. Below is the draft. Could you check it and reply with any changes? [Paste draft announcement] The photo and personal details are optional. If you'd rather we leave them out, just say so and we'll send a shorter version; it makes no difference to anything else. We won't post anything outside the company without your OK. Thanks, [Your name]

Example 1: Team-level email

Subject: Welcome Priya Raman to Revenue Operations (starts Oct 12) Hi team, Priya Raman joins us as Senior Revenue Operations Analyst on Monday, October 12. She'll report to me and sit with us in the Chicago office on Tuesdays and Wednesdays. Priya spent the last four years running Salesforce reporting for a 200-person sales team, and she'll start by rebuilding our pipeline forecast dashboard before Q4 planning. Kofi will be her onboarding buddy for the first month. A few things she's asked us to know: she goes by Priya, she's training for the Chicago Half Marathon, and she has strong opinions about deep-dish pizza. Please grab 20 minutes with her in her first two weeks. I've added intro slots to the team calendar. Thanks, [Manager name]

Frequently asked questions

How do you announce a new hire?

Send a short email or Slack post from the hiring manager to the immediate team 3-5 business days before the start date, then include the person in a company-wide update in their first week. Give their name, title, team, start date, manager, and what they'll work on first. Add a photo and personal facts only if the new hire agrees.

What should a new employee announcement email include?

Include the person's preferred name, job title, team, start date, location or time zone, their manager and onboarding buddy, one line on their background, and what they'll work on first. End with a clear ask, such as booking a 15-minute intro. Leave out salary, age, visa status and anything personal they didn't volunteer.

When should you send a new hire announcement?

Send the team announcement 3-5 business days before the start date so people can plan intros and access. Send the company-wide announcement in the first week, ideally days 1-3. Announce executive hires on day one, after any public or investor news. Post on LinkedIn only after the person has started and agreed.

Should you ask permission before announcing a new hire?

Yes, for anything beyond their name, title and start date. Show the new hire the exact text and photo first. Some people are still telling their current employer, some have privacy or safety reasons, and some don't want a photo shared. Under UK data protection guidance, employee consent must be genuinely optional to count.

Who should send the new hire announcement?

The hiring manager sends the team announcement because they know what the person will work on. The people team or manager usually sends the company-wide version, and the CEO or executive sponsor announces senior leaders. For client accounts, the outgoing account owner should introduce the replacement personally before any formal email.

How is a new hire announcement different from a welcome email?

A welcome email goes to the new hire and covers logistics: start time, where to go, what to bring and the first-day agenda. A new hire announcement goes to other people, such as the team, the company, clients or your network, and introduces the new person. Most companies send both, a few days apart.
